Creating and editing a user role

Creating user roles is the first step in the process of allocating appropriate roles to your users. After creating the roles, you will need to create the individual users and then assign a role to each user as required for each combination of databases, studies and sites to which they have access.

To create or edit a user role, you need the 'Maintain user role' permission. This feature has a database-wide scope.

Creating a user role

  1. Select Role > New Role or right click on the Roles icon in the tree and select New Role. The Role screen is displayed.

  2. Enter a unique code for the role and a description of this role. See example

  3. Check the system administrator check box if you only want users who are System Administrators to be able to assign the new role to other users.  Note that this does not confer System Administrator rights to any user to whom the new role is assigned, it merely restricts who can assign this role to other users. This check box is only enabled if the current user is a system administrator user.

  4. Check the modules whose functions you wish to display. A list of all functions associated with the selected modules is displayed in the box headed Available Role Functions. For example, if you only want to see the role functions relevant to the Study Definition and Library Management modules, deselect all modules except these two, and only the functions associated with your chosen two modules will be listed.

  5. Select the role functions to include in your new user role. To do this, double click on a role, or highlight the role and click the > button. The role you have selected will disappear from the Available Role Functions box and appear in the Selected Role Functions box. To remove a role from the Selected Role Functions box, click the < button. To speed up the process, you can use the >> button to select all available roles, and the << button to deselect all selected roles.

  6. When you have specified all the role functions you need, click Apply. The new role will be included in the list on the left side of the System Management screen and the role functions associated with it will be displayed on the right. To restart the process, click Reset.

  7. You must close and re-open any other open MACRO modules before the role changes will take effect.

Please note that some permissions allow changes to all data in a database and are not restricted to the study/site combination specified in a user’s user role. More information...

Editing an existing role

You may return to edit an existing role at any time. You can edit the description and the functions for this role but you cannot edit the code. Any changes will affect all users who have been assigned this role the next time that they log in.

Removing a user role

Once a user role has been created it cannot be deleted but it can be dis-associated from a user.
