The Question Audit Trail

The Audit Trail is a chronological record of the response value or attachment, question status, any warning messages and overrule reasons, any reasons for change and any attached comments. Whenever any of these items are changed, a record is kept of the date/time of the change and the user name of the user who carried it out. Note that changes to DCRs, SDVs and notes are not included in the question audit trail but can be seen in the respective browsers.

 

Each response is assigned two timestamps. The 'Time Stamp' refers to the date/time that the response was saved to the local web server and the 'Database Time Stamp' refers to the date/time that the response was saved to the database server. If remote data entry is being used then both timestamps refer to the remote machine. To reconcile different time zones, each time record displays the difference from GMT.

 

You can view the audit trail for a question at any time but changes will only be recorded after the data has been saved.

Viewing the audit trails for multiple questions

  1. Select View > Search Panel or click the Open Search Panel icon to open the search panel. Using the search panel

  2. Select Audit from the Data drop down list. See example

  3. Select your search criteria. More info

  4. Click the Execute search button to display the data in the Audit Browser in the main window.

 

Note: You cannot perform any actions on data from the Audit Browser, as you can do from other types of browsers but you can change the view of the browser.

 

The Audit Trail report can be printed and exported.

 

To view the audit trail via the search panel, you need the 'View data' permission

Viewing the audit trail for a single question

  1. Open the relevant eForm.

  2. Right click the question status icon to the right of the question and select View Audit Trail... from the popup menu. The Audit Trail is displayed in a tab in the Question Information window.

 

To view the audit trail for a question, you need both the 'View data' and 'View question audit trail' permissions
